Overview

Use the Companies module to create and associate businesses with which your contacts and clients interact, e.g., a financial institution, employer, or insurance company. If a company is a client of your organization or you need to keep detailed records of activities, use the Contacts module instead.

Create a Company record

  1. Access the Companies Create form using one of the following:
    • Click Relationships > Companies > Create Companies from the Navigation menu.
    • Click Create New on the Companies List View.
  2. Complete the Companies Create Form. See Field Descriptions for information about each field. Fields that have an asterisk (*) are required; you must enter data in the field to save the record.
  3. Click Save to save the record and view its detail page, or click Cancel .

Display a list of companes

Click Relationships > Companies > View Companies.
The Companies List View displays.

Display the details for a company

Click the contact name in the Companies List View.
The Companies Detail View displays.

Edit company information

  1. Access the Companies Edit View by doing one of the following:
    • Click Edit in the Companies Detail View.
    • Click the edit icon (pencil) associated with the company record in the Companies List View.
  2. Update the company information. See Field Descriptions for information about each field.
  3. Click Save to update the record.

Suppress one or more Company records

  1. In the Companies List View, click the Selection box associated with the record(s) you want to suppress.
  2. Click Suppress.
    A confirmation box displays.
  3. Click OK.
    The records are suppressed.

You can also suppress a single Company record by clicking Suppress on the Companies Detail View.

Update information related to multiple Companies

  1. In the Companies List View, click the Selection box associated with the records you want to update.
  2. Click Mass Update in the Actions dropdown.

Duplicate company information

Click Duplicate in the Companies Detail View. Duplication is a convenient way of creating a similar company. You can change and save the information in the duplicate record to create a new record.

Find and merge duplicate records

Follow the instructions in Merging duplicate records.

Import Company records

  1. Click Relationships > Companies > Import Companies from the Navigation menu.
  2. Follow the instructions in Importing data.

Export records

  1. In the Companies List View, click the Selection box associated with the records you want to export.
  2. Click Export in the dropdown and follow the instructions in Exporting data.

Field Descriptions

Fields that have an asterisk (*) are required; you must enter data in the field to save the Company record.

Enter the following information in the Company Profile section.

Name*

Enter the Company’s legal name. This is a mandatory field.

Assigned to

By default, the record is assigned to the creator of the Clients record. To change the assignment, click the user on the Users Popup List View (displays upon clicking the Selection arrow) or the list of users matching the character(s) you enter.

Short Name

Enter an abbreviation or short name to describe the company

Ticker Symbol

Enter the stock ticker symbol for the company.

Industry

From this dropdown, click the industrial sector to which the company belongs.

Ownership

Specify the company’s owner information.

Employees

Enter the number of employees in the company

Annual Revenue

Enter the organization’s annual revenue.

Master Account

Enter the Master Account Number assigned by the financial institution to aggregate client accounts. Master account numbers are assigned by custodians. It is a way for these custodians to group all advisor accounts together. When a custodian sends a file it may contain multiple accounts. Some advisers have both discretionary and non-discretionary accounts. The custodian will assign separate Master account numbers for each. That is to say, there will be a master account number for all discretionary accounts, and another master account for non-discretionary accounts. If multiple master account numbers are used, create a company record for each.

Routing Number

Enter the routing number.

Description

Enter a description of the company.

Teams*

By default, your private team is assigned as the primary team. To change the primary team assignment, click the team on the Teams List (displays upon clicking the selection arrow) or the list of teams matching the character(s) you enter in the text entry box. To assign additional teams to the client, click add (+) and click the team. For more information on assigning teams, see Assigning Users and Teams to Records.

Enter the following information in the Address & Phone section.

Office Phone

Enter the Company’s primary office phone number.

Fax

Enter the Company’s fax number.

Alternate Phone

Enter the Company’s alternate phone number such as an 800 number.

Email

Enter the Company’s email addresses.

Email

Enter the Company’s email addresses. To add an additional email address, click the Add icon. If the client has more than one email address, click the radial next to the primary email address. If you sent out campaign emails this client chose to opt-out of receiving them, click Opted Out.

Click Invalid to indicate an incorrect email address.

Website

Enter the Company’s website address.

Shipping Address section

Enter the shipping address.

Click the checkbox to copy the Billing Address information into this Shipping Address section.

Billing Address section

Enter the billing address.
