Click the Home toolbar button and select the Calendar sub-tab on the Options tab to specify calendar preferences.
Default Appointment length (hours)
When an appointment is created and its Start Time is entered, the default length entered on the Activities Options screen will determine the End Time that is automatically entered. It may, of course, be altered from the default. See the Appointment Dialog.
Automatically close my appts after ___ days (0=never)
Enter the number of days after an appointment occurred that you would like the appointment to be closed.The default is 0 (never close appointments).
Calendar Background Color
Click the Browse button to change the color of the calendar's background. Ideally, the background should contrast with the calendar's grid lines to more clearly define the calendar's display. The color of the calendar's grid is controlled by the Microsoft Windows theme you have selected in Control Panel's Display Options.
Calendar Highlight Color
Click the Browse button to change the color of the calendar's highlight color. When an appointment exists for a date on the small month calendars displayed on the Year and Public calendar views, that date will be colored with the highlight color.
Highlight Color for other's appts
Click the Browse button to change the color of the text used for appointments where you are NOT an attendee. Black is used to color text where you ARE an attendee.
Check to show grid lines on the calendar, which separate columns and rows.
Note: If you find that the grid lines are not showing up on the daily, weekly, and monthly calendars, and you are using Windows XP, try this:
If you go to Start Control Panel > Display Properties > Themes and change your theme to the Windows XP theme, then the color of the grid lines will change and become more visible.
You might also find that you can tweak the Calendar Background Color in ProTracker Advantage on the Home > Options > Calendar tab making it either darker or lighter to cause contrast between the grid lines and the background. Advantage can't control the color of the grid lines, but can control the background color.
Check to show only Monday through Friday on the Week and Month views.
Check to display holidays that have been entered in the Holidays Datasheet View on the calendar. If this option is checked, holidays will be marked as an all day appointment on the Day, Week, Group, Location, and Combo views. Unlike other appointments, holidays cannot be edited by double-clicking.To remove a holiday, right-click the grey box to the left of the holiday in the Holidays Datasheet View, and select Delete Record.
Show Icons on the Calendar
Check to display the Client, Contact, and Group icons indicating the status of appointment's "Related To" selection in the Day, Week, Public, Month, and List views.
For example, if an appointment is related to a client, the appointment will be preceded by the green Client icon if this option is checked.
Show range of appointment time
Check to display a dotted line to the left of an appointment on the Day and Week views to indicate the length of the appointment.
First Day of the Week
You many choose to see the weekly and monthly calendars displayed with either Sunday or Monday first.
Select the time of day that the calendar should begin its display on the Day, Week, Group's by Day, and Location By Day views. The time you select will also determine the first time displayed on the dropdown list in the Start Time field on the Add an Appointment dialog.
Note that if you have an appointment scheduled prior to the Calendar Start Time you have selected, it will still be displayed on the calendar.
Default Calendar Text display
In each appointment listed on the Daily, Weekly, Monthly, and Calendar List, you have the option of displaying the following:
- Related To and Appointment description
- Appointment description
- Relate To
- Category and Appointment
- Time and Appointment
- Start Time
- Start Time and Appointment
Show Closed Appointments
Check this box to show appointments that have been closed.
Check this box to confirm rescheduling an appointment using the right-click menu.
Check this box to confirm closing an appointment using the right-click menu.
Rows per hour on Daily and Weekly
Select how many units (rows) you would like each hour to occupy on the Daily and Weekly calendars:
- four 15-minute intervals
- two 30-minute intervals
- one 1-hour interval
The fewer intervals per hour, the more of the day you will see on one screen without scrolling. If more appointments are scheduled in the hour than the number of rows you select, the calendar will expand to display one row for each appointment.
Balloon ToolTip delay (milliseconds)
Many data fields in Advantage are set up to provide you with help text when your cursor hovers over them. You may select the length of time before the text appears. It is expressed in 1/1000ths of a second, so 1000 equals a 1 second delay.

Many data fields in Advantage are set up to provide you with help text when your cursor hovers over them. You may select the length of time that the text is shown. It is expressed in 1/1000ths of a second, so 5000 equals a 5 second display time.
Calendar Reminder on by default
If this flag is set, then the Reminder On? flag in the Add an Appointment dialog will default to On. Set this flag if you wish to use the Reminder functionality most of the time. You may uncheck the Reminder On? flag from an individual Appointment at creation time or later.
Reminder minutes before event
This field works hand-in-hand with the above setting to provide a default number of minutes before the appointment that you will receive the Reminder. This will be used for the default value of the Time Before Event field of the Add an Appointment dialog.
You may set a Default Category to be used at Appointment creation time. Select an entry here from the Appointment Categories Pick List and the next time that you run the Add an Appointment dialog the Category field will already be filled in for you.
To add or remove categories from this list, go to Operations -> Pick Lists and double-click on the Appointment Categories Pick List.
Tip: If you are working on a special project to, say, set up annual meetings with your clients, and most of your work for a period of time will be devoted to that task, change the Default Category here to "Annual Meeting" and save yourself some keystrokes on each Appointment that you create.
You may set up a Default Location to be used at Appointment creation time. Select an entry here from the Appointment Locations Pick List and the next time that you run the Add an Appointment dialog, the Location field will already be filled in for you.
To add or remove locations from this list, open the Operations menu, select Pick Lists, and double-click Appointment Locations.
